Abstract
Por años la información ha sido uno de los recursos más valiosos no solo para las empresas sino también para las personas ya que permite la toma acertada de decisiones y el poder planificar mejor las estrategias o planes de acción para ejecutar un proyecto o una simple actividad. Sin embargo, a nivel empresarial para muchos esta no es una prioridad y no implementan un correcto sistema de gestión documental, en muchos de los casos porque no disponen de los recursos suficientes, hay poca cultura de aceptación al cambio y la innovación o son más importantes otros procesos de la compañía. El no tener un sistema documental automatizado y eficiente, genera grandes riesgos de perdida de información vital para la compañía, además de riesgos de sanción o multas por partes de los entes de control. Esta investigación pretende generar un diagnóstico sobre el estado actual del sistema de gestión documental de una empresa Farmacéutica donde se identifica una descentralización absoluta de la información, falta de conocimiento y comunicación del sistema implementado, falta de recursos y tecnologías que ayuden a innovar el sistema actual y por supuesto los altos riesgos que esto representa para la compañía, para de esta manera presentar una propuesta de mejora al sistema, implementando nuevas herramientas tecnológicas que ayuden a minimizar los riesgo y sobrecostos asociados a la administración de la información, considerando que la capacitación y la comunicación de estos nuevos cambios hacia el personal humano
For years, information has been one of the most valuable resources not only for companies but also for people, as it allows for making the right decisions and for better planning of strategies or action plans to execute a project or a simple activity. However, at a business level, for many, this is not a priority and they do not implement a correct document management system, in many cases because they do not have sufficient resources, there is little culture of acceptance of change and innovation, or other company processes are more important. Not having an automated and efficient document system generates great risks of losing vital information for the company, in addition to risks of sanctions or fines by the control entities. This research aims to generate a diagnosis of the current state of the document management system of a pharmaceutical company, which identifies an absolute decentralization of information, lack of knowledge and communication of the implemented system, lack of resources and technologies that help innovate the current system and of course the high risks that this represents for the company, in order to present a proposal for improvement to the system, implementing new technological tools that help minimize the risks and additional costs associated with the management of information, considering that the training and communication of these new changes to human personnel
